Catalogue Inquiry

OBJECTIVE

The Catalogue Inquiry option provides an overview of the various transactions related to an item.

The ability to drill down in the transaction tabs allows you to view information ranging from the most general to the most detailed.

View an Item in the Catalogue

After clicking the relevant code in the Code column, all the information available on the item is displayed, divided into various tabs.

  1. Information tab:
    1. Description sub-tab:
      1. Identification, Accounting and Units sections: These sections display the general information entered when the item was created in Catalogue Management.
      2. Inventory Status - Current Prefix section: ClosedMeaning of fields in this section.
      3.  

        All of the quantities and amounts in this table are calculated based on transferred transactions only.

      4. Category section: This section allows to assign three categories to a catalogue item. These categories are mainly used to group items that share common characteristics. Using these three levels of categories makes it easier to search for items, starting from a more general level and moving down to increasingly specific details, while limiting the number of results displayed.
        • The first category (level 1) is the main category;
        • The second category (level 2) must be a sub-category of the level 1 category;
        • The third category (level 3) must be a sub-category of the level 2 category.
      5. Miscellaneous section: This section displays general information on the item. This information was entered when the item was created in Catalogue Management.
    2. Purchase and Sale sub-tab: This sub-tab displays the information entered when the item was created in Catalogue Management or after transactions are processed in maestro*. The table by supplier shows the details of the most recent orders placed with each of the suppliers listed.
    3. Average Cost

      The Average Cost is displayed in inventory unit price.

      In the following cases, a message is displayed in red, with an asterisk (*) added before the field name, to indicate that the average cost will not be used in inventory features:

      • If the average cost calculated is negative;
      • If the average cost calculated is null;
      • If there is a stock quantity, but no stock value;
      • If the average cost is calculated using a negative stock quantity.

      In cases where the Average Cost displays a message in red, the last price paid (in the Inventory Price column) is used.

      In multidimensional mode, the displayed average cost available in this section is calculated by taking into account the values present in all companies.

      Refer to the appendix at the end of this document for an explanation on the workings of the average cost.

    4. Tickets sub-tab: this sub-tab displays the information that was entered when creating the item in Catalogue Management. The Quarry Tickets and/or Concrete Tickets keys must be checked in the Installation Options option to make this sub-tab available.
    5. Quotation sub-tab: this sub-tab displays the information that was entered when creating the item in Catalogue Management. The Estimating key must be checked in the Installation Options option to make this sub-tab available.
    6. Procurement Management sub-tab: this sub-tab displays the information that was entered when creating the item in Catalogue Management. The Procurement key must be checked in the Installation Options option to make this sub-tab available.
    7. Warranty sub-tab: This sub-tab is used to view information about item warranties when defined as a part on equipment. The Preventive Maintenance key must be checked in the Installation Options option to make this sub-tab available.
  1. Additional Fields tab: This tab displays additional fields as entered in Catalogue Management.
  2. Quantities tab: This tab displays a summary of quantities based on the available quantity columns.
  3. Customer Orders tab: This tab displays the quantities and amounts of transactions, whether or not they have been transferred from customer orders. The Customer Order key must be checked in the Installation Options option to make this sub-tab available.
  4. Customer Orders - Reservations tab: This tab displays, for the current prefix, the reservations of material created from requisitions, stock orders from catalogue, inventory-to-project transfers, etc. The Customer Order key must be checked in the Installation Options option to make this sub-tab available.
  5. Supplier Orders tab: This tab displays the quantities and amounts in transactions (transferred or non-transferred) for stock orders from catalogue only.
  6. Active Orders Analysis tab: This tab displays the current sale and purchase orders for the current prefix.
  7. History tab: presents all transactions related to the selected item. By default, transactions of the last 12 months are displayed.
    1. The section at the top, which shows the inventory status, is only displayed during the inventory closure period: 
      • Inventory Closure sub-section: The magnifying glass icon to the right of the Upper Date Range filter allows to select the start date of the period.
      • Opening Balances sub-section: Calculates the quantities and amounts from the transactions in this tab.
    2. The Average Cost Tracking sub-tab is displayed for the current prefix if the inventory period has been closed.

Project Delivery

Receipt of goods delivered to the project.

Supplier Invoice

Invoicing of a stock order from catalogue.

Invoice Cancellation

Cancellation of an invoicing balance.

Reception for a Project

Receipt of goods on a project.

Project Transfer

Inventory to project transfer transaction.

Customer Order Cancellation

Cancellation of a balance for a customer order.

Sale

Sale and invoice transaction of a customer order.

Sale Cancellation

Cancellation of a customer invoice.

Direct Delivery

Time/Material delivery.

Internal Sale

Internal sale transaction (inventory-to-project transfer with markup).

Order Correction

Adjustment of the balances on order for a closed order.

Rental

Rental transaction originating from a rental sale order (these items will be rented out, so they will never be "delivered" in the sense of an inventory issue).

Delivery Correction

Adjustment of the quantities to be delivered for a closed order.

Recept. Correction

Adjustment of balances received but not invoiced on a closed order.

Opening - To Deliver

Quantities to be delivered (to customers) at the time of opening.

Opening - Ordered

Quantities on order (from suppliers) at the time of opening.

Opening - Received but not invoiced

Quantities received but not yet invoiced at the time of opening.

Opening - Qty and Stock Value

Stock quantities and stock value at the start of the period.

Rental Order Cancellation

Cancellation of a balance for a rental order.

Fuel

Fuel management.

Physical Inventory Count

Physical inventory count.

Surplus

Surplus quantity if the quantity received is higher than the quantity ordered or the quantity invoiced is higher than the quantity received.

Surplus Amount

Surplus amount if the receipt of goods amount is higher than the ordered amount or the invoiced amount is higher than the receipt of goods amount.

Original Characteristic

Characteristic entered in the Stock Order from Catalogue.

NOTE: If the characteristic is changed when the merchandise is received, the value remains in the same field, but the word "original" is no longer displayed.

Original Location

Location entered in the Stock Order from Catalogue.

NOTE: If the location is changed when the merchandise is received, the value remains in the same field, but the word "original" is no longer displayed.

Original Unit

Unit entered in the Stock Order from Catalogue.

NOTE: If the unit is changed when the merchandise is received, the value remains in the same field, but the word "original" is no longer displayed.

Original Identification

Identification entered in the Stock Order from Catalogue.

NOTE: If the identification is changed when the merchandise is received, the value remains in the same field, but the word "original" is no longer displayed.

Original Reservation Number

Reservation number entered in the Stock Order from Catalogue.

NOTE: If the reservation number is changed when the merchandise is received, the value remains in the same field, but the word "original" is no longer displayed.

Gross Unit Price

Unit price entered in the order.

NOTE: This field is used to update the inventory values in maestro* and to display the last price, based on the current prefix, in Catalog Inquiry.

Discount on Gross Unit Price

Discount on the unit price entered in the order.

NOTE: This field is used to update the inventory values in maestro* and to display the last discount, based on the current prefix, in Catalog Inquiry.

  1. Warranty by Equipment tab: This tab displays the list of equipment for which the current item is part of the components list. A line displayed in red in the grid indicates that there is a delay.
  2. Requisitions tab: This tab displays all current or completed requisitions for the item.
  3.  

    A view titled Cacher réq. compl./ann. | Hide Compl./Canc. Req. is available to filter the grid by hiding requisitions with the Complete and Cancelled status.

  4. Bill of Materials tab: This tab displays the bills of materials in which the item is used.

 

The current item will be added to the list if the Activate automatic component selection configuration has been enabled in the General Settings (Purchasing > General) and the Add master item to component list box has been checked in the Define Bill of Materials option.

 

The Total Cost is calculated by multiplying the value in the Quantity column by the value in the Average Cost column. The total of the Total Cost column is displayed at the bottom of the Bill of Materials tab.

  1. Identifications tab: This tab displays the list of existing serial numbers for this item, as well as transactions linked to each serial number. Two display modes are available for this tab: horizontal, with the two grids one below the other, or vertical, with the two grids side by side.

 

Appendix

Calculation of the Average Cost Formula

The formula works differently depending on whether the accrued charges have been activated or not.

Activated Accrued Charges

Non-Invoiced Quantity: Not modified

Non-Invoiced Amount: Increased upon reception

Decreased upon invoicing

Stock Quantity: Increased upon reception

Stock Amount: Increased upon invoicing

Formula:

Average Cost = (In-Stock Value + Non-Invoiced Received Amount) / In-Stock Quantity

Non-Activated Accrued Charges

Non-Invoiced Quantity: Increased upon reception

Decreased upon invoicing

Non-Invoiced Amount: Not modified

Stock Quantity: Increased upon reception

Stock Amount: Increased upon invoicing

Formula:

Average Cost = In-Stock Value / (In-Stock Quantity – Non-Invoiced Received Quantity)
